Processing of your personal data - purposes and legal bases

Data processing when using our association website:

a) Log files

The use of our association website is possible without you actively entering personal data. However, every time you use our association website, log files are recorded on the servers provided by ADFC Hessen e.V.. In the log files, the provider of the pages automatically collects and stores information that your browser automatically transmits to the provider of the pages. These are:

  • fixed or dynamic IP address of the calling user,
  • pages accessed,
  • Browser type/browser version,
  • referrer addresses (URL),
  • operating system used,
  • hostname of the accessing computer,
  • Access date and access time.

The ADFC Hessen e.V. can retrieve this data. The data contained in the log files are used exclusively for statistical purposes. An identification of the user does not take place, unless required by law. For us, the data cannot be assigned to specific persons. We reserve the right to inspect and check this data if we become aware of concrete indications of illegal use of the association website. The legal basis is a legitimate interest pursuant to Art. 6 (1) sentence 1 lit. b) GDPR in being able to detect and defend against unlawful use or attacks.

b) Access data / server log files

Our web space provider collects data about each access to the offer (so-called server log files). Access data includes:

  • the name of the website accessed,
  • file,
  • Date and time of retrieval
  • Amount of data transferred
  • Notification of successful retrieval
  • Browser type and version
  • the user's operating system
  • Referrer URL (the previously visited page)
  • IP address and
  • the requesting provider

We use the log data only for statistical evaluations for the purpose of operation, security and optimisation of the offer. However, we reserve the right to subsequently check the log data if there is a justified suspicion of unlawful use on the basis of concrete indications.

c) Use of cookies

Cookies are small text files that are stored on your device by your browser. We deliberately refrain from the use of analysis, marketing or tracking cookies as well as third-party cookies. The cookies we use are purely functional and strictly necessary to ensure the operation, security and basic functions of our website (e.g. to store language settings, log-in status or to distribute the load of the servers).

The legal basis is our legitimate interest in the technically error-free provision and optimised design of our website (Art. 6 (1) (f) GDPR). 

You can set your browser so that you are informed about the setting of cookies, only allow cookies in individual cases or exclude the acceptance of cookies for certain cases or in general.

d) Newsletter

If you have subscribed to the newsletter on our association website, personal data will be collected, processed and used. Processed:

  • First name, surname
  • Your e-mail address
  • residence

We use your e-mail address to regularly send you the newsletter and to provide you with interesting information about the association. We use the information of the place of residence to provide you with locally relevant information. The legal basis for sending the newsletter is your consent (Article 6 (1) sentence 1 a) GDPR). This consent can be revoked at any time for the future. To do so, you can click on "unsubscribe from the newsletter" at the bottom of the newsletter e-mail or contact us at info@adfc-wiesbaden.de writing.

We use the Brevo dispatch tool to send the newsletter.

Photos and videos

Photos and videos about our association and events in which the association participates are recorded, stored and published for the purpose of informing our members or the public or for external presentation, e.g. on our website, in traditional or digital media.

The recording, storage and publication of photos or videos generally takes place with the consent of the person concerned, i.e. the person who is photographed or filmed (Art. 6 (1) sentence 1 letter a) GDPR). This consent can be revoked at any time for the future.

The recording, storage and publication of photos or videos isn certain cases possible without consent, if it is based on a legitimate interest of the ADFC Wiesbaden/Rheingau-Taunus (Article 6(1)(f) GDPR). This is generally the case for photos or videos on which people appear only as a supplement, or for photos or videos of public events or events in which the people depicted have participated. The reasonable expectations the persons concerned, whether they have to expect to be included in the respective context and that recordings will be published, shall be taken into account.

You have the possibility to object to the use of a photo or video on which you can be seen in accordance with Article 21(1) GDPR. The association will check whether there are compelling legitimate grounds for processing that outweigh your interests, rights and freedoms. If not, the corresponding photo or video will be deleted.

Participant management

When you register for our events or participate in our activities, personal data is sometimes collected, processed and used. Processed depending on the type of event or activity:

  • First name, surname
  • Your e-mail address
  • Place of residence with postal code
  • Previous knowledge
  • Account details and payment information
  • Preferences for food (e.g. vegetarians)
  • Bicycle data (e.g. manufacturer, frame number)

We use this information to organize the event or activity. The legal basis is your consent (Article 6 (1) sentence 1 a) GDPR). This consent can be revoked at any time for the future. For this purpose, you can contact us at info@adfc-wiesbaden.de writing.

Member data will only be processed by ADFC Wiesbaden/Rheingau-Taunus for the task assigned to it.

The purpose for the processing of member data by the ADFC Wiesbaden/Rheingau-Taunus is the pursuit of the purpose of the association, in particular the organization of events, the cooperation of members in project groups, the networking of members in groups of digital media such as "Signal", information about the association's activities, e.g. with a newsletter. The legal basis is membership of the association (Article 6(1)(b) GDPR) or a legitimate interest (Article 6(1)(f) GDPR).

Storage period

  • When using our association website, ADFC Hessen e.V. temporarily stores the IP addresses and log files for a maximum of 14 days.
  • Most of the cookies we use are so-called "session cookies", which are automatically deleted at the end of your visit. Others remain stored on your device until you delete them manually or the storage period expires.
  • Data that you have provided for the subscription to the newsletter (e.g. name, e-mail address) will be deleted as soon as you revoke your consent to the newsletter.
  • Data collected for events or activities will be deleted no later than 2 years after the event, unless there are special reasons to store them longer.
  • The ADFC at the federal level (Berlin) is responsible for the deletion of the member data.

Rights of data subjects

If we process personal data about you, you have the following data subject rights:

  • a right to information about the processed data and to a copy,
  • a right to rectification if we process incorrect data about you,
  • a right to erasure, unless there are still exceptions to why we still store the data, e.g. retention obligations or limitation periods
  • a right to restriction of processing,
  • a right to withdraw consent to data processing at any time,
  • a right to object to processing in the public or legitimate interest,
  • a right to data portability,
  • a right to lodge a complaint with a data protection supervisory authority if you find that we are not processing your data properly.
